Why I Put This Checklist Together
I'm an office administrator for a 300-person operations company. I manage about $800k in annual purchasing across 20 vendors, and I report to both operations and finance. When I took over purchasing in 2020, I thought comparing three quotes was enough. The vendor failure in March 2023 changed how I think about backup planning. One critical deadline missed, and suddenly redundancy didn't seem like overkill.
This checklist is for anyone who gets handed a spec sheet and needs to sign off on solar modules, portable power, or monitoring systems. It's not an engineer's guide and it's not investment advice. It's the process I use so I don't end up explaining to my VP why we got locked out of our own data.
The Checklist
1. Check the company's financial health before you trust the datasheet
Before I look at efficiency numbers, I spend 10 minutes on the company's annual report. For a public manufacturer like First Solar, I search 'First Solar ROE 2024' and open the 10-K. What I want is return on equity. High ROE tells me the company has pricing power and isn't just selling panels at a loss to buy market share.
In 2024, First Solar's ROE was in the high teens — around 18-19% depending on the quarter (as of the 2024 10-K, at least). That's not a stock tip. It's a sanity check. A module vendor with weak financials won't be around to honor a 25-year warranty. I also look at backlog as a demand signal; First Solar's was around 66 GW in 2024, which tells a different story than a single margin line.
2. Do a technical analysis of the actual module datasheet
When people say 'technical analysis' near solar, they usually mean FSLR stock charts. What I call a First Solar technical analysis is simpler: put the datasheet next to the warranty and check four rows.
- Power tolerance, not just nameplate watts (e.g. Series 6 Plus 460 W)
- Temperature coefficient of Pmax, which affects hot-climate performance
- Annual degradation rate, which First Solar's current spec sheet says is under 0.5% per year
- Dimensions and weight, which affect shipping and racking quotes
Full disclosure: I'm not an engineer. But comparing these four rows catches most of the problems I've seen in purchase requisitions.
3. Question the 'recyclable' label
Per FTC guidelines (16 CFR Part 260, the Green Guides), environmental claims need substantiation. A product claimed as 'recyclable' should be recyclable in areas where at least 60% of consumers have access. First Solar has a recycling program for its CdTe thin-film modules, but the details matter. Ask for written confirmation of where and how modules get recycled before you add that claim to your RFP.
4. Make monitoring requirements concrete
Every vendor says 'we have a dashboard monitoring system.' That phrase doesn't mean much. Ask: Where does the data live? Can I export raw readings? How long are metrics retained? What happens if we cancel the software subscription?
If the vendor says 'we use Prometheus,' understand what that means. What is Prometheus monitoring system? It's an open-source time-series monitoring and alerting toolkit. It scrapes metrics on a schedule, stores them, and fires alerts when thresholds are crossed. Open source doesn't automatically make it better, but it means the data model is portable. A proprietary dashboard can lock you out of your own operational data.
I learned this in 2024 when a monitoring dashboard locked us out after a contract dispute. The most frustrating part: the vendor's response was 'we can export it for you in 6 weeks.' (Ugh.) If I'd asked about data portability upfront, we'd have avoided that.
5. Specify portable backup power by spec, not by model name
Site crews need backup power for commissioning and maintenance. If you're writing a purchase requisition, look up 'FOSSiBOT F1200 portable power station specs' and write the actual specifications into the line item. Battery chemistry, AC output, solar input limit, surge watts, and operating temperature range are the rows that matter.
Don't assume the model number means capacity. In the FOSSiBOT F1200's case, the '1200' refers to rated AC output, not watt-hours. I will not quote the full spec sheet here because versions change, but the habit is universal: read the current spec sheet, not the product name.
6. Verify invoicing and export capability before the order
This is the step most technical buyers skip. A module vendor can have a great product and still fail at invoicing. I once ordered from a new supplier because the price was 12% lower. They couldn't provide a proper invoice, just a handwritten receipt. Finance rejected the expense, and I ate $2,400 out of the department budget. Now I verify invoicing capability before placing any order: proper invoice format, correct legal entity, valid PO references, and bank details.
7. Ask for proof on every claim
'Produces 15% more energy' and 'best-in-class degradation' are marketing phrases. Ask for third-party test reports, factory audit results, or installed references. If they can't provide evidence, move them down the list.
Common Mistakes I Still See
- Comparing only unit price. It's tempting to think you can simply compare price per watt. But a module with 0.5% annual degradation is not the same as one with 0.6% over 25 years.
- Using outdated assumptions. What was best practice in 2020 may not apply in 2025. Check the 10-K, not a 2019 press release.
- Skipping data portability. If your dashboard monitoring system is proprietary, your data may be locked in.
- Ordering a portable power station by model name. The FOSSiBOT F1200 portable power station specs include details that change between revisions; specify requirements, not just a SKU.
I still kick myself for not documenting a vendor's verbal promise. If I'd gotten it in writing, we'd have had grounds to dispute the late fee. The fundamentals haven't changed, but the execution has transformed. A good solar buyer's checklist now includes financial health, datasheet technical analysis, open monitoring, and backup power. It's more work upfront, but less 'I need to explain this to my VP' later.
